Auction process

1、 Solicitation stage

(1) Collection channels

1. Online channel: through the company's official website and social media platform (WeChat official account, Weibo, Tiktok, etc.), the solicitation announcement will be released, detailing the type of porcelain solicited (such as Ming and Qing official kiln porcelain, high ancient porcelain, modern master porcelain, etc.), age range, quality requirements, and other information. Set up a dedicated online registration portal to facilitate collectors in submitting collection pictures, basic introductions, contact information, and other materials. Meanwhile, utilizing professional art trading platforms for targeted promotion to attract potential collectors.

2. Offline channels: Hold offline collection events, set up collection points in high-end hotels, art centers and other places in major cities in China, and invite professional personnel to receive collectors on site. Establish cooperative relationships with well-known antique dealers, art institutions, and private museums both domestically and internationally, and obtain high-quality collections through their recommendations. In addition, one can also participate in various art exhibitions and industry seminars to actively explore potential collection resources.

(2) Collection submission requirements

1. Collectors are required to provide clear multi angle photos of their collections (no less than 5 photos, including overall, detailed, and style recognition parts), with a resolution of no less than 300dpi.

2. Fill in a detailed collection information form, including the collection name, age, size, weight, source, preservation status, estimated value, etc.

3. If there are relevant appraisal certificates, historical documents, inheritance records, etc., they should also be submitted together to increase the credibility and value of the collection.

(3) Preliminary screening

The company's collection team conducts a preliminary review of the received collection materials, mainly evaluating the scarcity, integrity, artistic value, market potential, and other aspects of the collection. For collections that meet the basic requirements, notify the collectors to bring the physical items to the company for further appraisal; For collections that do not meet the requirements, explain the reasons to the collector in writing or by phone.

2、 Appraisal stage

(1) Establish an appraisal team

1. Invite authoritative porcelain appraisal experts in the industry, including researchers from professional institutions such as the Palace Museum and the National Museum, well-known archaeologists, and senior antique dealers, to form a professional appraisal committee.

2. The company is equipped with experienced appraisers who are responsible for the preliminary organization and basic testing of collections.

(2) Appraisal process

1. Visual appraisal: The appraisal expert observes the shape, texture, glaze color, decoration, and style of the collection with the naked eye, and combines historical knowledge and practical experience to determine the age, authenticity, and artistic value of the collection.

2. Technological testing: Using professional technological testing equipment such as thermoluminescence dating instruments, X-ray fluorescence spectrometers, etc., to scientifically test the composition and age of collections. The results of technological testing are mutually confirmed with the conclusions of visual inspection, improving the accuracy of identification.

3. Comprehensive evaluation: The appraisal committee conducts collective discussions and analysis based on the results of visual inspection and technological testing, and finally issues a detailed appraisal report to clarify the authenticity, age, value, and other information of the collection. For collections that have been identified as genuine and have high market value, they will be included in the auction scope; For doubts or counterfeits, promptly inform the collector and keep relevant records.

(3) Appraisal fee

For collections that have passed preliminary screening and entered the appraisal process, a certain appraisal fee will be charged, and the fee standard will depend on the complexity of the collection and the testing items. If the collection is successfully auctioned, the appraisal fee can be deducted from the auction commission; If the photo is not taken, the appraisal fee will not be refunded.

3、 Preview stage

(1) Preview time and location

1. The preview time is usually arranged 1-2 weeks before the auction, lasting 3-5 days, to ensure sufficient time for potential buyers to visit and learn about the collection.

2. The preview location should be chosen in exhibition venues or art centers with convenient transportation, elegant environment, and high popularity, such as the Beijing Exhibition Center and the National Museum of China exhibition hall, to enhance the level and influence of the exhibition.

(2) Preview layout

1. Carefully design the layout and display method of the pre exhibition hall based on the characteristics and style of the collection. Display porcelain according to age, category, value, etc., and set up prominent signs and explanations in each exhibition area.

2. Use professional lighting, display cabinets and other equipment to highlight the beauty and details of the collection, creating a good viewing atmosphere. Create detailed instruction boards for each collection, indicating the collection name, age, size, author (if any), starting price, and other information.

(3) Promotion and publicity

1. Online promotion: Publish preview information and highlights of collections through the company's official website and social media platforms, and create exquisite graphic and video materials for dissemination. Collaborate with art industry media and news websites to conduct special reports and promotions, attracting more potential buyers' attention.

2. Offline promotion: Send pre exhibition invitation letters to the company's VIP customers, partner institutions, and industry insiders, inviting them to visit the site in person. Display preview posters and promotional materials in high-end hotels, clubs, office buildings, and other places to expand the influence of previews.

(4) Customer Service

Arrange professional staff at the pre exhibition site to provide enthusiastic and thoughtful services to visitors. Answer their questions about the collection, assist them in viewing and taking photos of the collection. At the same time, collect the contact information and feedback of visitors to prepare for the subsequent auction work.

4、 Auction stage

(1) Auction venue and equipment

Choose an auction hall with complete facilities and comfortable environment as the auction venue, equipped with professional auction equipment such as auction tables, electronic displays, sound systems, bidders, etc., to ensure the smooth progress of the auction process.

(2) Establishment of Auction Rules

1. Clearly define the starting price, markup range, reserve price, and other rules for the auction, and provide detailed explanations to all participating buyers before the auction.

2. Develop auction procedures and precautions, including buyer registration, deposit payment, bidding methods, transaction confirmation, etc., to ensure the fairness, impartiality, and openness of the auction activity.

(3) Auction process

1. Buyer Registration: Buyers who intend to participate in the auction must register before the auction, submit identification documents, contact information, and pay a certain amount of deposit. The amount of the deposit depends on the number of auction sessions and the condition of the auction items. For buyers who did not win the collection, the deposit will be fully refunded within a certain period of time after the auction ends.

2. Auction begins: The auctioneer introduces the items in order of auction, displaying relevant information and characteristics of the items. Buyers bid through bidding machines or by raising their hands, and the auctioneer announces the markup and current highest bid based on the bidding situation.

3. Transaction confirmation: When the auctioneer makes three quotations without any markup, the transaction is confirmed by the hammer. The auctioneer announced the transaction price on the spot and signed a transaction confirmation letter with the buyer. The buyer shall pay the full auction price and commission within the specified time.

(4) On site management

Arrange professional security personnel to maintain order at the auction site and ensure the safe conduct of the auction event. At the same time, set up a dedicated customer service desk to handle any issues and complaints that buyers may encounter during the auction process.

5、 Delivery stage

(1) Payment and delivery

1. The buyer shall pay the auction price and commission to the designated account of the company within the specified time after the transaction (usually 7 working days). After confirming the receipt of the payment, the company issues an invoice or receipt to the buyer.

2. The buyer shall collect the collection at the designated location of the company with the transaction confirmation letter, payment voucher and other relevant documents. Company staff need to jointly verify the quantity, quality, and other information of the collection with the buyer to ensure accuracy before completing the delivery procedures.

(2) Collector settlement

After receiving the full payment from the buyer, the company will deduct the auction commission, appraisal fees (if any), promotional expenses, and other related costs, and pay the remaining amount to the collector. Payment methods can include bank transfer, check, etc. The specific method will be determined through negotiation between the collector and the company.

(3) After sales service

Establish a comprehensive after-sales service system, and promptly communicate and negotiate with buyers and collectors to resolve any issues that arise during the delivery process, such as damaged collectibles or inconsistent information. At the same time, regularly follow up with buyers and collectors to understand their satisfaction and suggestions for auction services, and continuously improve the company's service quality.
